With the AI Wizard feature, you can set a few parameters to reach your desired mileage and / or business-personal trip ratio. Based on your set parameters the AI Wizard feature will create a mileage log draft that you can review, correct, or accept right away if it fits your preferences.

Note: Adding a refueling / charging is only necessary when using the Actual Expense Method. In the case of using the Standard Mileage Rate, you only need to log your arrival at the gas / charging station (the trip itself), as you would with any other client / location.

After adding Refuelings / Chargings and Fixed trips, you can set the parameters of the AI Wizard feature by clicking on the Setting AI Wizard menu point. To create a more accurate mileage log, it is recommended that at least one Fixed trip (Recurring daily trips, trips tracked with the mileage tracker app) be recorded on the day of a refueling / charging.

As the first step, set the ratio of business and personal trips by clicking on the numbers or using the slider.

Then set how you would like the AI Wizard feature to handle your personal trips.

The next step is to set the minimum and the maximum number of places you would like to visit with your car in a day. Set this to a higher number if you have more nearby clients and to a lower number if you have more distant clients. If you travel to distant places you will drive more miles in one trip. From such long trips, 2-3 a day can be enough to reach the number of desired daily miles. Similarly, if you take more trips / day because you visit mostly your nearby clients it is advisable to set a higher number, as you will need more trips to reach your desired daily mileage.

As the next step, enter the maximum number of miles you would like to travel per day. If you don’t have a maximum number when it comes to your driveable miles, just untick this check box.

In addition to the initial setup, which uses your nearest and more distant clients in equal proportions in your mileage log drafts, there are other options you can set up. You can set the program to include your nearest or more distant clients more often in your mileage log draft. At the Client managing strategy option choose from the drop-down menu!

You can also choose a General Client managing strategy, in which case your nearby and more distant clients will be included in equal proportions in your mileage log draft.

You can specify how often you would like to visit a business client in a given month. If in your line of work, it is more typical to visit a business client once a month, you can set the AI Wizard feature to only include a client once a month. If at the opposite end, in your line of work, it is more common to visit a client several times a month, you can set the AI Wizard to include a visit to the same client up to three times a month. Select an option provided by the list, to set up how frequently a client can appear in your mileage log in the given month.

If the frequency of your client visits is irrelevant to you, you can turn this option off. In this case, the AI Wizard feature will work with a random client visit frequency.

 The specified parameters will be saved and if you do not change them then your next month’s mileage log will be based on these details as well.

When you have finished entering the parameters, click on the Save and AI Wizard button. The system will then run a check on the mileage log draft.

If an error is found during the check, we’ll let you know what the reason is behind the error and where you need to go to make the required changes. Click on the button at the bottom of the error message to navigate to the menu where you can fix the error.

For example, if you do not have any personal clients, you can click on the Add personal clients button in the error message to go to the Clients menu, where you can record at least one personal client.

There are errors with which AI Wizard cannot start. In case of warnings, you can continue without correcting the errors by clicking the Continue AI Wizard button.

 

After making the requested changes, continue the set-up process by clicking on either of the following options:

  • AI Wizard  button in the pop-up window,
  • the Setting AI Wizard menu,
  • or on the top right AI Wizard button in the Trips menu point.

 If the program doesn’t find any more errors, the AI Wizard feature will begin to auto-populate your former trips to fill the gaps in your mileage log.

If the AI Wizard process is completed successfully, distance corrections will be made and you will see the following message on the screen:

In the Trips menu, you can view your mileage log draft, where you have the option to modify your trips if necessary.

During the AI Wizard process, the program only makes corrections in the miles that are recommended by the program and for trips for which the distance is not greater than 12 mi, to obtain an accurate result. If this cannot be done, you will receive the message below after completing the AI Wizard process.

Record trips, make necessary corrections in the Trips menu manually, or start a new AI Wizard.

If a refueling / charging is at or before 8:00 a.m., the AI Wizard function will not insert a trip in front of the refueling / charging on that day. The same will happen if the recorded refueling / charging is after 7:00 pm or after, the AI Wizard function will not insert a trip after the refueling / charging on that day.

When deciding that you want to start the AI Wizard process from the beginning, you can delete the trips recommended by the AI Wizard feature which will leave you with only your Fixed trips. In the Trips menu, you have the option of deleting all the occasional trips and the recommended trips created by the AI Wizard feature. In the Trips menu, select Leave fixed trips only from the Useful tools menu in the upper corner.
