The Vehicle-client pairing feature allows you to link and categorize selected clients/locations with specified vehicles.

What this function does and what scenarios to use it in:

If you need to use the AI Wizard function to fill in the trip gaps in your mileage log, you can utilize this Vehicle-Client Pairing feature to ensure that the Wizard only uses clients/locations within the set vicinity (e.g. filter for a specific state, or ZIP code).

If you have multiple vehicles in the system, such as a fleet operation, this feature can be beneficial to ensure that each driver only has access to relevant data. This will help keep things neat and tidy, rule out any confusion, and streamline the entire process by ensuring that each vehicle only has access to specified clients / locations.

The Setup

First, select the vehicle you want to work with by clicking on the box at the top right.
Once you have selected the vehicle, you will see a list of your clients / locations that can be sorted by Name, Category, Address, ZIP code, Country, and the date it was added, or you can search for a specific client / location via the search bar.

Active group:

This includes the Headquarters / Branches or Clients / Locations within the USA. By default, any newly recorded locations will be added to the ‘Active’ group. The AI Wizard function uses these ‘Active’ locations when making trip recommendations for your mileage log. 

Passive Group:

By default, this group will include foreign Clients / Locations and Filling stations. Locations should be marked as Passive if you do not want the AI Wizard technology to insert them when creating your mileage log. Typically you would put any point into the passive category, that you do not want to appear in your mileage log, such as service garages, car washes, and any point you would like to exclude when using the AI Wizard function.

Inactive group:

Locations will not be added automatically to the ‘Inactive’ group.  This feature is useful for users with multiple vehicles. Set a location to ‘Inactive’ for a vehicle, if the selected vehicle will never visit that location. If you put a location in the ‘Inactive’ group, it will not be visible or usable with the specified vehicle. If you mark a Filling station as ‘Inactive’ when you’re near that area, you will not be able to record any refueling / charging data (this isn’t recommended in most cases).

Modifications

To move a location from one group to another, simply click on the circle in the appropriate column in that row. If you don’t want to make any other changes, click the ‘Save pairing’ button in the top-right corner of the screen.

Click the ‘Modified’ button to display the list of locations modified so far. You can undo the changes by clicking the ‘Restore statuskuka‘icon. When you are done, click ‘Save pairing’ in the top right.

You can select all the Clients / Locations at once by clicking the checkbox above the groups:

Tip: If you want to copy the pairings for a particular vehicle to another vehicle, click the ‘Copy pairing’ button in the top-right corner.
Select the vehicle to copy the pairing for and click the ‘Save pairing’ button.
