The AI Mileage Log Generator is an upgraded, guided version of our previous AI Wizard feature. It helps you create a complete, IRS-Proof mileage log — even if you missed tracking months or lost past data.

This smart tool walks you through 8 simple steps to generate a realistic, fully compliant mileage log based on your actual driving patterns, client locations, and business habits. You can personalize everything along the way to ensure maximum accuracy and deduction potential.

How It Works – Step-by-Step Guide

Step 1: Add Clients / Locations

Add at least 3 clients or locations so the system can build your mileage log around them.
You can choose one of three options:

• Import from XLS file – Upload a list of your saved locations.

• Add manually – Enter each client or location directly.

• Automatic generate – Let the system create sample clients and locations for you.

💡 Tip: Having a few saved locations helps the system better replicate real-life driving habits.

Step 2: Vehicle Selection

Select the vehicle for which you want to generate a mileage log.
If you haven’t added one yet, click “Add a new vehicle” to create it.
This ensures that all generated trips are correctly linked to your vehicle and subscription period.

Step 3: Select Period & Enter Mileage Data

Choose your start and end dates for the mileage period you’d like to reconstruct.
Then, fill in the optional odometer readings or set the total number of miles.
You can decide whether to calculate based on:

• Desired miles traveled, or

• Desired deduction (the system will convert the deduction into equivalent miles).

💡 Example: If you know your business deduction goal, select “Desired deduction” — MileageWise will calculate the mileage you need.

Step 4: Monthly Mileage Distribution

Distribute your total mileage evenly across the selected period.
Each month gets a balanced share of your total business and personal miles — but you can manually adjust any month, and the rest will automatically rebalance to keep totals consistent.

💡 Tip: If you had a busier month, simply increase that month’s miles — the rest adjust automatically.

Step 5: Select Days-Off & Vacation Dates

Mark the days you did not work so the software won’t generate business trips on those days.
You can quickly bulk-select:

• Federal holidays

• Weekends (Saturdays/Sundays)

• Or manually mark specific vacation days

💡 This step helps ensure your mileage log reflects a realistic work schedule.

Step 6: Recurring Daily Trips

Define your regular driving patterns (for example, Home → Client A → Client B → Home).
Once you set your typical routes, the system applies them across your selected workdays automatically.

💡 You can skip this step if your daily routes vary — the system will generate balanced trips.

Step 7: Personalized Settings

Fine-tune how the Generator should behave:

• Manage personal trips (for days off or workdays)

• Choose your location management strategy (General, Balanced, etc.)

• Set maximum daily distance and number of daily trips

• Optionally, toggle “Recommend a Business Trip for Every Workday”

💡 These options help make your generated log truly reflect your driving habits.

Step 8: Ready to Generate

Review all settings and hit Start.
MileageWise will verify your data and begin generating your IRS-compliant mileage log.
The process typically takes 5–15 minutes, depending on your selected date range and the amount of data.

Once completed, you’ll receive a notification email and can review, refine, and export your mileage log directly from your dashboard.
